Private mail archive with local AI search

Your mail is the real record of your business: what was agreed, when, by whom, at what price. We build a private archive of your organisation's mailboxes, live and historical, decades deep, that finds any message in milliseconds and answers questions in plain language with links to the emails it used. The AI runs on your own private GPUs, inside our datacenter. Your mail is never sent to any outside AI service.
What it is
A continuously synced copy of your mailboxes, joined to the historical archives you have kept from older mail systems, in one index. On top of it, two ways to find things.
Search. Type words, a sender, a domain, a date range, "has a PDF attached", an exact phrase. Results come back in milliseconds across the entire archive, with threads, attachments and the original message one click away.
Ask. Type a question the way you would ask a colleague: "When did the supplier first agree to extend the warranty, and who signed it off?" A language model running in our datacenter finds the relevant messages, reads them and answers, citing every email it relied on so you can open it and check.
It works in more than one language. English and Greek are supported today, with automatic synonyms across both, so a search for "invoice" also finds "τιμολόγιο".
How we build it
Sync that never stops. Your live mailboxes are mirrored over IMAP continuously, minute by minute. Historical archives exported from older mail systems are imported once and indexed alongside the live mail, so twenty years of correspondence sit in the same search box as this morning's.
A full text index built for speed. Every message, header and attachment we can read (PDF, Word, Excel and the usual office formats) is indexed with language aware stemming, so the plural, the verb form and the translation all match.
A vector index for meaning. Every message is also embedded by a model running on your own private GPU servers and stored in a private vector database, so the archive can find mail by what it is about, not only by the words it contains.
A language model that stays home. Questions are answered by a large language model running on your own private GPUs, on your own private network in our datacenter. The question, the retrieved mail and the answer never leave it.
It looks after itself. A watchdog checks the whole chain every few minutes, from sync to index to search, and restarts anything that has stopped. Mail you delete from the mailbox is removed from both indexes on a schedule, so the archive reflects your retention decisions.
What it protects you from
- "We cannot find the email where they agreed to that", the week it matters.
- Sending your entire mailbox to a third party AI service in order to search it.
- Historical mail locked in an old export format nobody can open any more.
- An archive that falls out of step with the live mailbox: sync is continuous and watched.
- Searches that miss the answer because it was written in another language.
- Mail that should be gone still answering searches after you deleted it.
In practice
For a large legal firm we built exactly this: decades of the firm's mailboxes in one archive, searchable in milliseconds and queried in plain language, with the AI running on the firm's own private GPUs.
The kind of work it does every day looks like this. A finance team needs every invoice from one supplier across fifteen years. One search, filtered to messages with a PDF attached, returns them in date order in well under a second, and the attachments can be saved in one go.
A director asks, in plain language, how a long running dispute with a vendor started. The answer comes back as a short account with the dates, the people involved and links to each email it was built from, ready to check line by line.
Counsel needs a dated record of what was said about an event from years ago. The thread view walks the whole conversation, every reply and forward in order, and every original message is available in its raw form for an evidence pack.
Why EuroVPS
- The AI runs on GPU servers we own, in a datacenter we operate. Your mail goes nowhere else.
- Millisecond search across decades of mail, live and historical, in one place.
- Answers that cite their sources, so nothing has to be taken on trust.
- English and Greek built in, with synonyms across both languages.
- A watchdog on every part of the chain, and engineers watching the watchdog.
FAQ
Which mail systems can you archive? Anything that speaks IMAP for the live mailboxes, including Exchange and most hosted mail. Historical archives can be imported from standard export formats.
Does any of our mail go to an outside AI company? No. Indexing, embedding and the language model all run on our hardware in our datacenter. There is no external AI service anywhere in the chain.
Who can use it? Only the people you authorise, from the networks you allow. Access is restricted by source address and by login.
Does it change anything in our mailboxes? No. The archive reads your mail; it does not move, delete or alter it.
Can the answers be wrong? Any language model can misread. That is why every answer links to the emails it was built from, so the person asking can open them and confirm.
Your mail already knows the answer. Let it tell you, without it leaving the building. Talk to an engineer.
